These three groups are combined in a single guide because they form one continuous chain: a contact is the counterparty, a good is the subject of the transaction, the warehouse is where it is kept, and production is where a good is made from raw materials.
A note on naming: on several pages, the menu label and the in-page heading are not identical (for example, the menu item "Goods" and the page heading "Goods List"). This guide uses the menu label as the baseline so you can find the item in the menu, and shows the in-page heading in parentheses.
Contacts
"Contacts" is the central register of the organization's counterparties: customers, suppliers, employees, shareholders, contractors, and sales leads — all in one table with a single identity.
Every contact is assigned an accounting code (e.g., 1/2/1) and is linked directly to the "Detail Accounts Tree" in Accounting. This means that when you create a contact, a detail account is created for it at the same time, and from that moment it will appear in "Invoices" and "Account Overview." A contact and an account are not two separate things.
"Contacts List"
Default columns: # · selection checkbox · accounting code · first name · last name · description · national ID/code · mobile number · actions. The table can be scrolled horizontally and has additional columns further to the left.
| Filter | Values |
|---|---|
| Category | List of defined categories |
| Account type | Default "No subgroup" |
| Roles | Multi-select: Employee · Supplier · Shareholder · Customer · Lead · Sales Representative |
| Debtors / Creditors | Two toggle checkboxes |
The two "Debtors" and "Creditors" checkboxes are a very handy shortcut: they build the debtor list with a single click, without going into the financial reports.
The role labels in this page's filter are singular (Employee, Supplier, Shareholder, Customer, Lead, Sales Representative), while the "Add Role" chips on the contact form are written in the plural (Suppliers, Marketers, Employees, Shareholders, Contractors, Prospective Customers). Keep the equivalent of each role in mind when filtering.
"Add Contact"
The form is organized into five sections:
- Basic Information — profile photo, accounting code, first and last name (required), contact type (default "Individual"), gender, nationality (default "Iranian"), national ID, category, mobile number with country code prefix (+98 IR), tax status (default "End Consumer"), postal code, address, account description.
- Businesses — an independent section with an "Add Business" button. An individual can have several businesses, each with its own tax information and address.
- Other Contact Information — additional phone numbers, emails, and secondary addresses.
- Other Information — a collapsible section for supplementary fields.
- Add Role — a row of chips: Suppliers · Marketers · Employees · Shareholders · Contractors · Prospective Customers. Clicking a chip adds that role's dedicated section to the form.
The role model is additive: a single contact can be a customer, a supplier, and an employee at the same time, without creating three duplicate records.
The tax status field directly affects how the electronic invoice is issued for this contact. For corporate customers, be sure to change it from the default "End Consumer" status.
"Contact Categories" uses a two-column layout: the category tree with search on the right, and the child table with title, code, description, and actions columns on the left. The three bulk-action buttons above the table are disabled until a row is selected. Pagination is classic (page-numbered).
Goods & Services
"Goods" (Goods List)
Columns: # · selection checkbox · code · image · title · stock (with unit) · storefront display title · category · sale price · … · actions.
The stock column shows the unit beneath the number (number / pcs, unit, etc.), and "storefront display title" is separate from the internal title — meaning the technical warehouse name and the online store's marketing name can differ.
| Toolbar icon | Function |
|---|---|
| Gear | Column settings |
| Funnel | Filter panel |
| Sort | Multi-level sorting |
| Inline edit | The key feature specific to this page — once enabled, the editable column headers (title, storefront display title, sale price) show a pencil icon, and cells can be changed directly inside the table |
Inline editing is the most important productivity feature on this page: it lets you update the prices of dozens of goods without opening each item's form.
"Services" (Services List)
Columns are the same as Goods, minus stock: a service has no inventory and does not move through the warehouse; it only appears on the invoice and generates an accounting entry.
Creating a new service: use the "New Service +" button inside the item-selection window — the same window that opens when adding a line to an invoice or a production order. This window has both "New Good +" and "New Service +."
Service registration form: a header with a save button and an image area; service information (service code, required title, category, default status active, description); four tabs — General Information, Price, Tax, Storefront. Under General Information: technical code, item ID, "Require Serial" and "Batch Tracking" toggles, and a unit section including the base unit (required), barcode with a scanner, and adding a secondary unit.
"Bundles" and Categories
A bundle is a package of several goods and services sold as a single line item. Columns: # · selection checkbox · image · code · title · status · from date · to date · actions.
A bundle has a validity period (from date / to date) and takes an "Active" status. This is where the seasonal offer and pricing campaign mechanism is implemented, without needing a separate module.
"Goods & Services Categories" follows the same two-column pattern as contact categories: tree + table with title, code, category logo, description, and actions columns. The presence of a logo column shows that this category feeds directly into the online store (CRM & Marketing ← Website).
"General Units Settings"
One of the most precise pages in the system, and often underestimated. It has 44 predefined units. Columns: # · selection checkbox · name · symbol · group · conversion factor to base unit · standard code · base unit · type · system-defined · actions.
| Column | Meaning |
|---|---|
| Name / Symbol | e.g., Kilogram · pcs / Piece / kg |
| Group | Colored chip: Count, Weight, and other groups such as Volume and Length |
| Conversion factor to base unit | Conversion factor — Dozen = 12, Gross = 144, Ton = 1,000 |
| Standard code | International unit code: PCE, DZN, GRO, PR, SET, KGM, GRM, MGM, TNE, LBR |
| Base unit | Chip showing the reference unit for each group (Piece for Count, Kilogram for Weight) |
| Type | Discrete (countable) or continuous (divisible) |
| System-defined | The system's default units; view-only, not editable |
"Standard code" is the exact code submitted on the tax electronic invoice. If a good's unit has no standard code, the invoice will be rejected by the taxpayer information system. Check this page before registering goods.
Warehouse Management
"Warehouses"
Columns: # · selection checkbox · title · code · warehouse keeper · phone number · address · postal code · active · default · actions (delete, edit, stock list, warehouse tools). The default column determines which warehouse is pre-selected on sales and purchase forms.
"Receipts List" and "Delivery Notes List"
Receipt = goods entering the warehouse. Columns: # · number · title · warehouse · date · provider · receipt type · invoice · actions (view). Receipt type values: Purchase · Initial Stock · Other (receipts arising from stocktaking are recorded with the title "Stocktaking - Surplus"). The title column is generated automatically and states the receipt's origin — for example, "Purchase Invoice — Supplier Name." This page's filter panel only has a date range.
Delivery note = goods leaving the warehouse. Columns: # · number · title · warehouse · date · buyer · delivery note type · invoice · actions. The buyer column shows the full detail-account path (Contacts & Business Partners / Customers / Customer Name) — the same contact-to-account link.
Receipts and delivery notes are not usually created manually by the user; they are the automatic output of purchase and sales invoices. These two pages are used mainly for tracking and control.
"Goods Batch"
Page subtitle: "Manage batches and track goods' expiration dates." Three indicator cards at the top of the page: Total Batches · Near Expiry · Expired. Filter bar: search by batch number · good · expiry status · from date · to date.
Columns: # · batch number · good · good code · warehouse receipt · production date · expiry date · actions. For past-due batches, the expiry date column shows a red warning chip in the form "n days past expiry." Classic pagination with 20 rows per page.
For the food, pharmaceutical, and cosmetics industries, this page is critical: tracking "which batch, from which receipt, with which expiry" is a prerequisite for inspection and product recall.
"Stocktaking"
Subtitle: "Physical count of warehouse stock, discrepancy reconciliation, and recording adjustments." Three indicator cards: Total Documents · In Progress · Recorded. Columns: # · code · title · warehouse · status · blind count · row count · creation date.
The blind count column, with an eye icon, shows whether the system stock is hidden from the counter's view in this document — the same concept explained under "Shift Handover" in Treasury.
"Warehouse Shift Handover"
This page is deliberately listed both under "Goods & Warehouse" and under "Treasury," and opens the same shared page from either location. The difference between the warehouse mode and the cash-register mode: the "Opening Balance (Petty Cash)" field is not shown, blind count is on by default, and the end-of-shift settlement link goes to a stocktaking document rather than an accounting document.
"Warehouse Analysis Report"
Subtitle: "A comprehensive report of goods movement and inflow/outflow across warehouses." The "Warehouse Movement Summary" section has four cards: Total Records · Total Inflow · Total Outflow (negative, red) · Net Movement. Three financial cards: Total Inflow Value · Total Outflow Value (negative) · Total Transactions. Detailed table: good name · technical code · warehouse name · inflow · outflow · net movement · inflow value · outflow value.
Transport
"Transport Carriers" is the register of freight-fleet contractors. Columns: # · selection checkbox · code · company name · vehicle information · driver information · default cost · actions. The default cost is proposed automatically when issuing a waybill.
"Waybills" columns: # · waybill number · carrier · sender / recipient · dispatch date · arrival date · number of items · cost · status. This page has no "add" button, because a waybill is created from the "More Options" menu on a sales invoice row. This means a waybill is always tied to an invoice, not a standalone document.
Product Production
"Production Orders"
Columns: # · selection checkbox · order number · title · status · planned quantity · progress (percentage bar) · estimated cost · actions. An order's initial status is Draft.
| Field | Required | Description |
|---|---|---|
| Order number | — | Read-only, automatic |
| Title | ✔ | Order name |
| Product ID | ✔ | The order's output good |
| Planned quantity | ✔ | Run size |
| Unit of measure | ✔ | From the general units list |
| Priority | — | Numeric |
| Estimated cost | — | Amount |
| BOM reference | — | Free text |
The scope of the Production module in this version: planning and tracking production orders. The "BOM reference" is a free-text field for referencing the product structure, not a bill-of-materials tree; production steps, work stations, and material consumption are not defined in a structured way. For continuous production and multi-stage assembly, record material consumption through warehouse delivery notes.
"Service Intakes"
The service and repair-shop intake module. Search by customer name, intake number, or item description. Columns: # · selection checkbox · intake number · customer name · item description · service type · status · priority · estimated cost · date. Sample values: service type "After-Sales Service," status "Ready for Delivery" (green chip), priority "High" (orange chip).
This page actually belongs to service businesses rather than manufacturing ones: repair shops, after-sales service agencies, service centers. Its placement under "Product Production" is a classification choice, not a technical dependency.
Goods Movement Chain
| Step | Result |
|---|---|
| Purchase invoice | Warehouse receipt ← stock increase (and, if batch-tracked, a goods batch record) |
| Sales invoice | Warehouse delivery note ← stock decrease ← option to issue a waybill with a transport carrier |
| Stocktaking | Blind count ← discrepancy ← surplus receipt or shortage delivery note ← correction document |
Every step also generates an automatic accounting entry, whose template is defined in Accounting ← Document Templates.

Frequently Asked Questions
What is the difference between a good and a service?
A good has stock and moves through the warehouse; a service only appears on the invoice and generates an accounting entry.
How do I define a new service?
Use the "New Service +" button inside the item-selection window — the same window that opens when adding a line to an invoice or a production order.
What is the difference between a bundle and a category?
A category is for organization; a bundle is a sellable line item built from several goods and services, with a defined validity period.
Do I have to create receipts and delivery notes manually?
No. Receipts are generated automatically from purchase invoices, and delivery notes from sales invoices. Manual entry is only for the opening balance and exceptional cases.
I created a contact, but it's not showing up in Invoices.
The contact's detail account is created when it is saved, but it will not appear in the report until it has some activity.
My good's unit is not in the list.
Create a new unit from "General Units Settings," and be sure to fill in the conversion factor to the base unit and the standard code.
My tax invoice was rejected because of the unit.
The good's unit has no standard code, or it is incorrect. Check the General Units page.
Why can't I type directly into the Goods table?
Inline-edit mode is off; turn on the pencil icon in the toolbar.
How do I calculate net warehouse turnover?
Use the "Total Inflow" and "Total Outflow" cards in the Warehouse Analysis Report.
