Getting Started

Audience: a new user logging into Karitm for the first time · Time required: about two hours of reading, spread over five days

Goal: by the end of this guide, you will be able to perform your role's day-to-day tasks without help. Sections 1 through 3 are mandatory for everyone; after that, read only the path for your own role.

Day one — orientation

Open the system's address in your browser and sign in with your username and password. If you see a "pending approval" message after signing in, your organization's administrator needs to approve your access. This is a security layer, not an error.

The first thing to understand — tabs

In Karitm, pages open in the application's own internal tabs, not browser tabs. Three practical consequences:

  1. You can leave a half-finished invoice, go to the account review, come back, and continue. No data is lost.
  2. Never change the browser address manually and never click the browser's Back button; if an unsaved form is open, this may destroy data. Always use the menu or the tab bar.
  3. Close tabs you are not using. Every tab stays alive, and on weaker devices, a large number of open tabs slows things down.

Day-one exercise: open three pages from the menu and switch between their tabs; close one and see that the rest remain untouched; read the status bar at the bottom and find the current fiscal period.

Day two — the shared page pattern

If you read only one section of this guide, make it this one. Karitm's more than one hundred pages are built from a limited set of patterns; once you learn these patterns, you can guess the rest of the system.

Four things that confuse newcomers

  1. The small number on the gear icon. It means one of the columns has been changed from its default state. For example, in the sales invoice list, the "Title" column is off by default, which is why you see a "1" badge.
  2. A filter does nothing until you click "Apply." Changes in the filter panel have no effect until you click the "Apply" button.
  3. The four counters below the table. "Total" is the total number of records, "Loaded" is what has been fetched so far, "Remaining" is the rest, and "Filtered" is the number matching the current filter.
  4. Each row's actions menu is dynamic. If you don't see an option, either the record's status doesn't allow it or you lack the permission for it. This is not an error.

The Excel export is built from the "Filtered" count, not "Loaded." You don't need to scroll to the end of the list first.

Colors

The color convention is consistent throughout the system:

All dates are in the Jalali (Persian) calendar. You can type numbers using Western digits; the system converts them.

Day three — fast navigation

Ctrl+F — global search

Type a few letters of the page name, use the down arrow to land on a result, and press Enter. It also finds settings: if you're looking for a settings key and don't know where it is, just type its topic.

Ctrl+/ — data search

To find a record: use Ctrl+F to go to the relevant list, then inside the page press Ctrl+/ and type the name or number.

Keep this distinction in mind: Ctrl+F to go to a page, Ctrl+/ to find a record.

The dashboard as your personal shortcut. The dashboard has four views: Quick Access, Reports Dashboard, Calendar, Notes. The "Quick Access" view automatically keeps the pages you have opened; pin the important ones and remove the rest to build your own personal menu.

Tools. The last menu item does not open a page; it turns the side column into a tools panel (including a calculator). While filling out a form, without closing anything, you have access to the calculator.

Cashier and salesperson path

Quick cash sale: Quick Invoice ← scan item barcodes ← record settlement on the same page ← print receipt. The entire path without leaving the page.

Credit sale: New Sale ← select customer ← set due date ← enter items ← submit. The invoice stays in "Operative" status until it is collected.

  • I registered an invoice but it's not in the list: the default filter shows only "Operative" and "Finalized" statuses. View drafts from "Sales Pre-Invoices."
  • A finalized invoice cannot be edited; this is by design. To change it, you must issue an "Amendment," which has a separate permission.
  • The "Balance" did not reach zero: check that the recorded receipt has been allocated to this invoice and that its status is "Final," not "Draft."

End of shift: Cash shift handover ← record the count (using the cash count sheet) ← if there's a discrepancy, a supervisor approves it ← hand over to the next person or close the shift. If you don't see the system amount, this is intentional: it's a blind count, so your count isn't influenced by the system's figure.

Accountant path

In Karitm, most accounting documents are not created by a human. The "Source" column in the document list shows which operation each document was generated from. Manually posting a document is only for adjustments, corrections, and entries outside the operational cycle.

If a document was not posted the way you expected, don't go after the invoice itself — go after the document template. In "Document Templates," correct the template for the issuing module in question; from then on, all documents from that module will post correctly.

Posting a manual document: Accounting ← Post Document ← date and description (leave the number blank so it auto-fills) ← fill in the lines ← check the "Total" row (posting is not possible until both sides are equal) ← "Post Document" or "Save Draft."

Checking the health of the books, once a month: Journal ← filter by month range ← the "Net Balance Total" row should be zero and labeled Balanced. Account Review ← "Ledger" tab ← check for balances contrary to nature (red numbers in parentheses). Balance Sheet ← "Generate Report" ← the status bar should show balanced.

Collecting receivables in three clicks: Statements ← select the debtor ← "Record Receipt" button ← the Treasury wizard opens with the same party.

Warehouse keeper path

You do not create goods receipts and delivery orders manually: a goods receipt is generated automatically from a purchase invoice, and a delivery order from a sales invoice. Manual entry is only for opening inventory and exceptional cases.

  • Quick price updates: Goods ← turn on the pencil icon in the toolbar (inline editing) ← change prices directly within the table.
  • Expiry control: Goods Batch ← the expired or near-expiry card ← from the "Warehouse Receipt" column, trace back to the originating receipt and from there to the supplier.
  • Stocktaking: "New Stocktaking" ← select warehouse and scope ← enable blind count ← record the counts (discrepancies are calculated automatically) ← post the document; a surplus receipt and a shortage delivery order are created automatically.

Human Resources specialist path

Run the monthly leave accrual yourself, every month. Each month, go to the "Leave Balance" page and run the "Run Monthly Accrual" card. Until this is done, employees' leave balances for that month will not be updated. The good news: running it again is safe and will not add the amount twice.

  • I don't see anything in "Clock-in/Clock-out": an employee must be selected first.
  • Night shifts aren't calculated correctly: enable the "Night Shift" toggle in that shift's definition.
  • Overtime isn't showing on the payslip: the request must be approved. The "Unapproved Overtime" column in the attendance report shows exactly this.
  • I created a person but they're not in the employee list: you didn't add the "Employees" role on the person's form.

Monthly cycle: Work Scheduling ← generate the month's schedule · correct missed attendance entries · Leave Balance ← run monthly accrual · process leave and overtime requests · process attendance report · Payroll Periods ← create and approve the period · Payslip ← review and print.

Manager path

A three-minute daily overview: Reports Dashboard (eight indicator cards with percentage change versus the prior month) ← Task Inbox, the "Overdue" card ← Statements, sorted by "Debit Balance."

Customizing the dashboard: Click "Edit Layout" and arrange the cards in the order you want. The "Default" button determines which view opens first.

"Who changed this?" System ← System Events ← filter by date, user, or entity type ← open the event ← "Entity History" tab. Every event records the user, time, IP address, browser, and reason for the change.

Periodic checklists

Daily

Cashier: cash shift handover at end of day · Manager: the "Overdue" card in the Task Inbox · Sales: follow up on invoices with a nonzero "Balance"

Monthly

HR: run the monthly leave accrual · Marketing: "Recalculate All" in RFM segmentation · Accounting: check the "Net Balance Total" in the Journal · bank reconciliation and closing the session · create and approve the payroll period and issue payslips · Tax: check the three status chips on the Tax Authority Portal page · Warehouse: the "Near Expiry" card in Goods Batch

Annually

Confirm the books are balanced · closing entry · change the active fiscal period · opening entry with "Source Fiscal Period" selected · check the balance sheet at the start of the new period · year-end stocktaking with a blind count · carry over the leave balance to the next year

Always

Automatic backup is turned on (System ← Database Management) · a test restore has been performed at least once

Twenty common mistakes and their solutions

17 A tax invoice was rejected because of the unit The goods unit's standard code hasn't been set; set the unit with its standard code on the goods form
18 Invoices aren't being sent to the Tax Authority Portal The connection credential has expired; click the "Validate" button on the Tax Authority Portal page to refresh the connection
19 I can't find a customer's name in global search Global search is for pages and settings; go to the relevant list first and search there with Ctrl+/
20 RFM segmentation is empty Run "Recalculate All" once on that same page

Three golden rules

  1. Use the menu and tabs, not the browser's buttons. Manually changing the address or clicking Back can destroy an unsaved form.
  2. If you don't see something, suspect permissions and filters first. Most "it doesn't work" issues in Karitm are really "you don't have permission" or "a filter is blocking it."
  3. Deletion in Karitm is mostly reversible. It can be undone with the "Restore" permission, and system events show exactly what happened.
